Performance Timing

On Adjudication Day

You are responsible for your own transportation to the festival site. You will meet the Festivals of Music staff at the performance site, not your hotel.

Please plan to arrive no later than thirty minutes prior to your scheduled warm-up. All times and locations are based on the festival schedule included in this packet. Please refer to this information for your scheduled times.

When you arrive at the adjudication area, report directly to the Registration Area (leave your students on the bus doing any last minute preparations).

At the Registration Area you will…

  • Turn in three (3) Adjudicator’s Packets along with your Announcer’s Sheet (for each ensemble)
  • Pick up Amusement Park/Meal tickets (where applicable) and FESTIVALS OF MUSIC pins.

After you have completed this task, your students may enter the building. Remember, other ensembles are on stage performing while you enter. Encourage your students to show these ensembles the same respect they would expect, and be as quiet and orderly as possible.

A representative will lead your students into the warm-up area. If you have arrived early, you are welcome to enter the performance area and listen to other ensembles or have your picture taken if the photographer’s schedule allows.

Stage Set-Up

As soon as the previous performance is completed, your representatives (with an accurate seating chart) must be ready to direct the stage crew. The stage must be set quickly and accurately.

Each organization will have THIRTY minutes to:

  • Set-Up
  • Perform an optional warm-up not to exceed three minutes
  • Perform two selections for adjudication*
  • Clear the Stage

*Show Choirs, Madrigal Choirs and Barbershop Quartets may perform any number of selections within their time limit, taking into consideration set-up, performance and exit.

Each school should supply a set-up crew to assist in the rearranging of choral risers, music stands and/or chairs prior to their group’s performance.

An organization’s stage time begins upon set-up. Common courtesy dictates that organizations do not exceed the time allotment on stage and each group adheres strictly to the schedule in order that all participants can be properly accommodated.

There will be a 25 minute warm-up prior to each performance (in a separate room).** For all groups, Festivals of Music reserves the right to change performance times due to emergency situations.

** In some instances there may be few or no music stands in the Instrumental warm-up room, as it is intended for warm-up and tuning, not as rehearsal time.

Clinic Option

The optional Instrumental clinic will take place immediately following the Ensemble’s performance.

An optional clinic will follow each choral organization’s performance. Choral organizations that schedule more than one ensemble per time slot will not receive a clinic.

After your Adjudication

Have a representative return to the Registration Area to retrieve your conductor’s scores and cassette tapes. Score Sheets and Recap forms will be distributed at the conclusion of the Awards Ceremony.

If you are not planning on attending the Awards Ceremony you must make prior arrangements with your Program Director to pick up your trophies. Groups that have not made prior arrangements, or do not have a representative present at the Awards Ceremony will not receive their trophy.

Ensemble Limits

Choral groups will be limited to 4 performance slots, and no more than 6 ensembles. If time slots are back-to-back, warm-up times must be incorporated into the block of times after the initial twenty-five minute warm-up. Set-up as follows: All groups warm-up together. 3 groups perform per hour, with a maximum of 2 hours & 6 groups. You may not go back to the warm-up room in-between groups. This should be outlined when you are discussing the schedule with your festival director.
